As the year draws to an end I would like to write a short email to wish you a Merry Christmas… to thank you for your support… and to share with you the contributions to our community that YOU have made possible.
My team and I have always felt that we are amongst the luckiest people in the world.
- We live in a great country
- We get to be creative and design great products
- We work with people we enjoy being with
- We get to serve fantastic customers from all over the world
- And we get rewarded with a decent income
We know we are lucky… and during the year we try and share some of our good fortune with those who have not had the same opportunities that we have had.
This year we were privileged to contribute to the following organizations that serve those in need in our country Fiji.
Save the Children Fiji (SCF): We have had a close association with SCF over the years and I currently serve as a member of their Board. We made several donations to SCF this year and finished the year with a donation to their Education Assistance Program.
What is the Education Assistance Program? The Fiji Government has over the last few years tried to make education accessible to all children by removing school fees and providing text books to all. Despite this many children in Fiji find it difficult to attend school because their parents are unable to provide other basic school supplies such as stationery. SCF has started a new project to supply these essentials so that the education of children will not be affected due to (hopefully) temporary economic hardships faced by families.
Fiji Crippled Children’s Society: I know… they could do with a name change to something that is a little more sensitive to the feelings of the children they serve. That being said… this organization does serve a very important and often neglected group of children in our community… and they have been doing it very well for many years.
The Society has a special school (Hilton School) which also includes boarding facilities for a small group of children.
Early in 2010 we found out that the school was having difficulty in covering its administrative budget for the year. We are extremely grateful that we were approached for help and that we were able to make a contribution to this excellent organization.
Fiji Children’s Treatment Fund: This is a fairly new organization in Fiji. Their aim is to provide financial support to parents of children with serious (sometimes terminal) illnesses who are unable to pay for the necessary treatment.
I have little children of my own (two boys… 7 and 5). It is difficult to even imagine the feelings a parent will go through knowing their child is going through pain that could easily be reduced if they only had the money.
Fiji Society for the Blind: This is a society that we are happy to donate to on an annual basis.
Home of Compassion: The Home of Compassion is a home for the elderly and is run by Catholic Sisters. They do a fantastic job of making the people they serve feel like part of a family.
I was introduced to this organization because my wife’s aunt is one of the Sisters at the Home of Compassion. As a result I have had the privilege of visiting the home on several occasions to witness that this is not a ”home” in name only.
Father Law Home: The Father Law Home is a small home that is setup outside Suva to look after the elderly. This is not an establishment with a lot of money and it looks after many people who have no other place to go. For the last few years, we have been making a regular donation to this organization in December.
Fiji Cancer Society: Even in a small place like Fiji, Cancer is becoming much more visible. There are very few people who do not know at least one person who had not been affected by this. We made a contribution to them as part of their Fiji’s Biggest Morning Tea Fundraising event.
Looking at the list… our team feels happy and humbled that there are organizations like these… with dedicated people whose primary goal is to be of service to others.
We truly appreciate what they are doing and the opportunity that that they have given us to contribute to their great work.
But we know that our contributions have only been possible because of YOU.
It is the money that you have spent on our products that has made it possible for us to give something back.

One of the things that Microsoft (for some reason) did not implement in Windows … an easy way to get the full filename (including the path) of a file. Here are the two quickest ways I know to do this:
In Windows 2000 and XP
Open Explorer and navigate to the file that you are interested in.
Click Start-Run to display the Run dialog box.
Click Delete to empty whatever is currently displayed in the Run box.
Now drag and drop the file (or folder) from the Explorer window into the Run box.
The above tip will also work in Vista and Windows 7 if you have configured it to have the Run command as part of the Start menu. However Vista and Windows 7 also has another even easier method…
In Windows Vista and Windows 7
Press and hold down the Shift Key and right-click over the file (or folder) you are interested in. Choose Copy as Path and this will copy the path to the clipboard.
You can now paste (CTRL-V) the path anywhere you want.
Why Microsoft chose to hide this option by requiring us to press Shift, I’ll never know.
Outlook 2003, 2007 and 2010 have a handy Favorite Folders list that can be a major productivity booster when used properly. It can even be used as a project management tool to remind you of what YOU WANT to work on.
When should you use Favorite Folders and how?
I haven’t really used Favorite Folders until recently. I use QuickFile 4Outlook to manage my emails. Dragging and dropping can be a nuisance when you have many nested folders and QuickFile lets me file both incoming and outgoing emails (Send&File in one step) at the click of a button. It also has a “Find&Goto Folders” button that lets me open any Outlook folder simply by typing a few characters from the name of the folder.
So there was little use for Favorite Folders … or so I thought. I recently updated my productivity tool set to include it. Here’s why …
What is the Favorite Folders List?
Favorite Folders provide users with quick access to mail folders that are used often. They are located at the top of the Navigation Pane on the left side of the Outlook window.
You can add any email folders that you want to this list. The folders physically still stay wherever they were but the Favorite Folders list puts them one click away, and not buried at the end of the folder list.
What Should You Use it For?
Any folders that you use often … but this is what I use it for …
I add my CURRENT PROJECT folders to the Favourite Folders list. This serves two purposes:
- It provides me with quick access to a folder when I need it.
- Looking at the list reminds me of what MY current projects are. This way I don’t get as distracted working on other people’s priorities because they are making the most noise (via email).
In order to keep the list effective, I maintain it by adding new folders when I start new projects and removing folders once projects are completed.
How to Add Folders to the List?
To add a folder to the Favorite Folders:
If you are using Outlook 2003/2007, right-click over the folder and click Add to Favorite Folders. You can also drag folders from the Folder list to the Favorite Folders list.
If you are using Outlook 2010, right-click over the folder and click Show in Favorites
How to Remove Folders to the List?
To remove folders from the Favorite Folders list, right-click the folder and click Remove from Favorite Folders.
Should you use Favorite Folders?
Definitely YES if you have many folders to organize your email.
For me, Favorite Folders is NOT a replacement for a tool such as QuickFile. You wouldn’t want to add too many folders to the Favorite Folders list and it isn’t going to Send&File for you.
However it is a handy (free) tool which is built right into Outlook that can greatly boost your productivity.
If you are running a business, particularly a professional business, these seemingly small errors can make you look unprofessional and waste precious billable time.
Please raise your hand if you ever:
- Forgot to attach a document to an email message.
- Clicked Reply when you meant Reply-All or vice-versa.
- Forgot to write a subject.
- Emailed someone using the wrong email address (for those of us with more than one email address).
- Fired off an angry message that you later regretted.

I have written about why you need to change your Facebook profile picture but, after the events of last week, I felt I HAD to send out a reminder again.
Your Facebook Profile picture can be seen by millions of Outlook users every time you send out an email… even if you’re not connected to them in Facebook.
For those who don’t know yet, Microsoft recently released a new (free) connector to users that lets other people see your Facebook profile picture (and status information) right inside Outlook.
That’s right! People can see your Facebook picture inside Outlook…. they do NOT need to be your friend in Facebook… they don’t even need to be logged in to Facebook.
As soon as they receive an email from you, Outlook will show them your current Facebook Profile picture like this:
This feature is available in Outlook 2003, 2007 and 2010 which at the time of writing is probably 99% of all Outlook users.
Now the story of why I felt I had to write this article again… I recently received an email sent to me on behalf of a Board Member of a prominent charity organization. The email was sent by her secretary.
When I viewed the email inside Outlook, the secretary’s picture was displayed to me. The picture, while not obscene in any way, was not a good image for the secretary, the board member or the organization. It was fine for her personal friends but definitely not in a professional context.
I was not logged in to Facebook and I was not a Facebook friend of the sender. In fact it turned out that she wasn’t even using that Facebook account any more.
I’ve emailed her and she has since changed her picture but the picture could have left me with an extremely bad first impression of her.
If you use Facebook… go right now and make sure that your profile picture projects a professional image that you are happy with.
Finally if you haven’t tried it yet, you can get Outlook to display Facebook pictures using the connector from this link. It works in Outlook 2003, Outlook 2007 and Outlook 2010.
Do you have folders with huge lists of emails in them? Here is a quick easy way to find particular emails by sorting your emails anyway you want.
This tip is particularly useful if (like my mum) you keep all your emails in your Inbox and Sent Items folders and you suddenly find that your emails are not being displayed in the order you are used to.
This tip is super easy… all you need to know how to do is click with the mouse.
Go to your Inbox (or any other email folder that you wish to sort). Do you see a list of column titles at the top (with labels like From, Subject, Received)
To sort by the Received date, click on the Received column title (as shown above).
You will notice a little arrow next to the Received column title in the screen above. This indicates that the email list is sorted by the Received column.
The arrow pointing downward means that the list is sort in descending order i.e. the newest emails are at the top of the list and the oldest are at the bottom (for other fields it means that it will sort from Z to A).
The arrow pointing upward means that the list is sort in ascending order i.e. the oldest emails are at the top of the list and the newest are at the bottom (for other fields it means that it will sort from A to Z).
To make a list sort by a different column, simply click on the title of the column you wish to sort by.
To change the way a list is sorted (i.e. change from ascending to descending), click on the title of the column again.
In summary… to sort, click on the column title!
